Please read this carefully, paying special attention to the dates by which we need things from you.
If you have any questions, or if we can help in any way in regard to your sponsorship of this event, please do not hesitate to contact one of the team.
1. Read this Exhibitor Manual, to ensure you are aware of all the opportunities available to you as a sponsor.
2. Submit your contacts for us to use in our promotional mailings to ensure that your top clients get an official invitation to FHS Africa and know you are a sponsor of the event.
3. Book hotel rooms as early as possible.
4. Ship your materials to Cape Town very early as customs clearance can take a long time (if required).
5. Make sure you have insurance (check contract for details) which covers your company at FHS Africa.

Marketing and PR
As an integral part of FHS Africa, it is key that we work together to explore all opportunities to promote FHS Africa to our collective audiences. There are plenty of opportunities to promote the event, however, if you have any ideas on how we can spread the word then please let us know.
- Add an image in your email signature promoting your participation at FHS Africa
- Include details of your participation at FHS Africa on your company newsletter.
- We can provide you with social media images for you to share on your website or social media.
- If you have screens in your office lobby area, please share dimensions and we can supply a video for display.
- We can create bespoke e-shots for you to send to your database, promoting your stand and activity at the event.
- FHS Africa has a fantastic reputation as a thought leader in the industry and endeavors to share content with our audiences year-round. If you have any reports, data, or other content that you would like to share, please let us know.

We work hard to ensure coverage is achieved for, not only the conference, but those sponsors that have newsworthy stories. We have secured a partnership with APO that will further amplify any news you would like to share - it should make reference to AHIF within the story.
- Share newsworthy stories/deals that will be announced at the event.
- Share Q&As or quotes from your senior representatives for use in press releases/ marketing in good time pre-event.
- Advise of timings of senior representatives onsite, to enable facilitation of media interviews.

Sponsorship Benefits
Stand sizes are dependent on your sponsorship level and stand spaces are allocated on a first-come, first-served basis, in the order the contracts are signed.
3m x 3m - Strategic Partners and Country Pavillion's sponsors can build their own bespoke stand or we can provide 1 x 3m branded wall, 1 x plasma TV (as required), 1 x tables + 2 chairs.
Maximum stand height: 2.5m
Please advise if you are building your own and want us to use our turnkey stand. Stand designs with full measurements must be submitted to Mala Patel by latest Friday 25 April.
We will then work with our local supplier and liaise with you on your stand
3m x 2m - Gold sponsors will get a standardised stand as seen below.
Gold Sponsors need to provide their bespoke artwork to customise their stand 2 x 2000mm x 2500mm by Friday 25 April. (or one if you do not have a side wall)
We will provide as part of the stand a table, 2 chairs and a mounted plasma TV. You will need to bring your own video content to display on the screens on a USB Stick.
2m x 2m - Silver Sponsor / Exhibitor will get a standardised stand but will be 2000mm total in length and 2500mm high and will NOT include a plasma TV.
Silver Sponsors need to provide their bespoke artwork to customise their stand 12500mm x 2500mm by Friday 25 April.
We will also provide as part of the stand a table, 2 chairs.
Your company name, profile and logo will appear on FHS Africa marketing materials, where appropriate. We have already received your logo and this is now on the website.
Please check this is the correct logo and that the hyperlink goes to the correct website address.
Please send your 150-word company profile to Mala Patel if this is not already included on the page.

Please register your passes for FHS Africa by Friday 16 May. Any representatives who are speaking, moderating, or on a panel at the conference do not need to be included in your complimentary places and will receive a different code to register. Your personalised link will be sent to you by email from Mala Patel.
Please ensure you have your promotional video content ready for your stand. You can email me a copy for back up but you should bring it with you on a USB Stick ready to plug into your stand (Sponsors and Strategic Partners only)
We are delighted to offer you a special rate of $1500 to promote to any members in your wider community so that they can attend FHS Africa. You will have received your bespoke promotional code from Mala Patel.
As a sponsor you will be provided with the attendee list 3 weeks before the event so that you are able to plan meetings through the app.
Your logo and company profile will appear on the conference App. The App gives FHS Africa attendees the ability to make contact with other delegates, speakers or sponsors before they arrive at FHS Africa. The App will go live two weeks prior to the event for fully-paid delegates, speakers and sponsors.
Investor Guests
You have been allocated passes to invite Investors to the event. The number of passes allocated can be found in your contract. Please send your wish list to Joan Calimpong, no later than Friday 25 April. All of these names must be approved by the Bench before invitations are issued.

Your stand will be built over the weekend, we invite you to come at your leisure to add any final touches on Monday. Please email Mala Patel and advise of the time you will be arriving.

General Information
We have negotiated preferential rates at various nearby hotels. Please click here to book your accommodation directly.
The business centre is located on the ground floor of The Westin Cape Town. Any costs associated with these services are payable by you direct.
Wireless internet connections are available throughout the venue.
If you require first aid assistance on site at any-time, please make the event organisers are aware of this to ensure help is provided. Please ensure that you are aware of all the fire exits and do not block passageways.
Parking will be available for the duration of the conference.
The Westin Cape Town will only accept any deliveries the week prior to the actual exhibition set-up day. Sponsors are responsible for organising their own shipping to and from the venue. Please get in touch should you need recommendations for courier/freight companies.
Should you need assistance with stand builders, printing, furniture hire or additional AV please contact Mala Patel who can assist directly.
All registered Exhibitors and Delegates are required to display personal identification, i.e. delegate name badges, at all times.
Security will be present throughout the venue and individuals not displaying name badge will be refused entry into the exhibition and conference halls.
Stand contractors will be able to gain access into the building during the build-up and breakdown, it is not necessary for any additional contractor passes to be ordered.
As the Westin Cape Town is open to public during the conference we recommend you do not leave any valuable equipment or belongings unattended. The organisers cannot accept liability or responsibility for loss or damage that may occur to the stands during build up / break down or during the exhibition period or anything that is stolen. Stands should not be left unattended during opening times at any point.
The exhibitor is fully responsible for obtaining insurance protection for their exhibits, property and personnel against all risks. Equipment should be insured both in transit and on location at the exhibition for the entire period it is in the conference facility. Insurance cover should include:
